Terms and Conditions for Group and Meeting Bookings
GENERAL TERMS AND CONDITIONS OF DELIVERY
Prices
All prices are quoted in euros and include VAT. We reserve the right to change prices if the booking is amended (dates, length of stay, number of guests, venues or rooms). Prices exclude commission unless otherwise stated in the confirmation.
Payment terms
Meeting clients and/or groups will be issued one (1) group invoice. Unless otherwise agreed, the person placing the order must pay the invoice in cash or by debit or credit card. If the client has a valid invoicing agreement with the service provider, the invoice can be sent to the client primarily electronically or by post (minimum invoice amount €120, including the invoicing surcharge).
Invoicing fee €20. Payment term: 14 days net; late payment interest 16%. We reserve the right to change the payment method if there is a material change in the company’s credit rating.

Billing basis
Please confirm any final changes to the number of participants three (3) business days before the event (subject to the cancellation terms). The invoice will be based on the number of people confirmed no later than 3 days before the event (subject to the cancellation terms), or on the actual number if attendance exceeds the confirmed number.
Meeting Package
A meeting package is a fixed package price that includes the pre-agreed meeting facilities, meeting equipment and catering. The full package price is charged regardless of actual consumption.
Event details
Please provide the following two weeks before the event:
- the number of event attendees and the rooming list of overnight guests
- the event schedule, meal times and any special dietary requirements
- dinner menu choices and drinks
- meeting room layout
- the guide text on the information board
- information about meeting technology requirements
- names and contact details of the event organisers
- billing or e-invoicing address (OVT identifier), as well as the invoice reference and company Business ID
CANCELLATION POLICY
Cancellations of group bookings must always be made in writing.
Meeting room, venue and group accommodation bookings
Cancellations and changes can be made free of charge:

The event space booking is valid for the number of participants specified by the booking party. If the number of participants changes significantly, the hotel reserves the right to assign another space and renegotiate the event details and costs. For accommodation bookings, the number of room nights is calculated as follows: for example, a booking of 30 rooms for two nights totals 60 room nights (30 rooms x 2 nights).
For bookings exceeding 200 room nights, we will agree on separate cancellation terms.
Room allotment
We will reserve the agreed number of hotel rooms for your group and guarantee their availability at the quoted rate until the room block expires. After that, any unbooked rooms will be released back for sale, and reservations can be made subject to availability at the rate of the day. Individual guests are responsible for any cancellation or failure to use their room.
The hotel will provide a booking code that can be used to book rooms. When booking from the room allocation, guests will be informed of the booking code’s validity period. Individual room bookings made from the allocation can be cancelled free of charge up to 24 hours before arrival (unless otherwise agreed). Participants can book their rooms on the hotel’s website, by phone or by email using the booking code provided. Credit card details are required to guarantee bookings.
Client’s liability
The booking party is responsible for protecting the rented premises and furnishings from damage. The booking party is liable for any equipment and personal property brought into the hotel. The booking party agrees to follow the service provider’s instructions.
Special arrangements
If the event requires special permits, a program, an orchestra, special decorations or exceptional technical equipment, the client agrees to cover the costs incurred.
Overbooking
In the event of overbooking, the hotel will arrange a new room booking and cover transport to another hotel.
Liability and insurance
The hotel is not responsible for guests’ personal belongings.
Force Majeure
Either party may terminate the reservation in writing without any liability for compensation in the event of war, acts of terrorism, mandatory decisions by authorities (excluding recommendations), strikes, natural disasters, domestic political unrest or other such circumstances in Finland beyond the party’s control that make fulfilment of the contractual obligations unlawful or impossible for that party.
Assignment of the Agreement
The customer may not transfer the agreement or hand over the rented premises to a third party without the service provider’s consent.
